This Jobvox Service Addendum ("Addendum") supplements the Nimvox Terms of Service ("Terms"). It governs your use of Jobvox, Nimvox's AI-powered job discovery and matching platform.
In the event of a conflict between this Addendum and the main Terms, this Addendum governs for Jobvox-specific matters. All other provisions of the main Terms remain in full force and effect.
2. Definitions
In addition to the definitions in the main Terms, the following terms apply to Jobvox:
"Career Page" means a publicly accessible web page maintained by an employer to list open job positions.
"Tracked Source" means a Career Page URL you have added to Jobvox for monitoring.
"Job Listing" means a job posting discovered by Jobvox from a Tracked Source.
"Resume" means the document (PDF or DOCX) you upload to Jobvox for job matching purposes.
"Match Score" means the algorithmic score Jobvox assigns to a Job Listing based on its relevance to your Resume.
"Workflow Pipeline" means the application tracking feature with stages such as Saved, Preparing, Applied, Interview, Offer, Closed, and Dismissed.
"Scan" means the automated process of accessing a Tracked Source to discover and update Job Listings.
"ATS" means Applicant Tracking System, the software used by employers to manage job listings on their Career Pages.
"Cover Letter" means an AI-generated document created by Jobvox based on your Resume and a specific Job Listing.
"Job Board" means a third-party aggregator of job listings (e.g., Indeed RSS feeds).
"AI Features" means the features powered by third-party large language models, including job analysis, resume optimization, and Cover Letter generation.
3. Service Description
Jobvox is an AI-powered job discovery and matching platform that provides:
Automated scanning of company Career Pages to discover Job Listings
Resume-based job matching with multi-dimensional scoring
A Workflow Pipeline for tracking application progress
Cross-company job search with filtering by location, company, and keywords
AI-powered job analysis, resume optimization suggestions, and Cover Letter generation
Scheduled automatic rescans of Tracked Sources
Data export in CSV and JSON formats
Analytics and activity tracking
4. Web Scraping Practices
Jobvox accesses publicly available Career Pages on your behalf to discover Job Listings. Our practices include:
4.1 Public Data Only
Jobvox only accesses information that is publicly available on Career Pages without requiring authentication. We do not bypass login walls, CAPTCHA systems, or any other access controls. We do not access password-protected areas of any website.
4.2 Respectful Access
robots.txt compliance: Jobvox respects robots.txt directives published by website operators
Rate limiting: Requests are rate-limited to mininimvox impact on target servers
Rotating proxies: Used for load distribution and reliability, not to circumvent access controls or evade blocking
User-Agent identification: Jobvox uses a custom User-Agent string that identifies the service and provides contact information
4.3 No Guarantee of Access
Nimvox does not guarantee that Jobvox can access or extract Job Listings from all Career Pages. Some websites may block automated access, change their structure, or use technologies that prevent scanning. Currently supported ATS platforms include Greenhouse, Lever, Workday, Eightfold, Ashby, Rippling, and Apple, among others. Continued accessibility of any specific platform is not guaranteed.
4.4 Takedown Compliance
If a Career Page owner requests that Nimvox cease accessing their website, we will comply promptly. To submit a takedown request, contact us at contact@nimvox.dev.
5. Resume Processing & Data Handling
You may upload your Resume to Jobvox for job matching and analysis purposes. By uploading your Resume:
You retain full ownership of your Resume and its contents
You grant Nimvox a limited license to process your Resume solely as necessary to provide the Jobvox service
Your Resume content is encrypted at rest using AES symmetric encryption
Nimvox does not sell, share, rent, or otherwise disclose your Resume data to third parties for their own purposes
Your Resume is used solely for job matching, scoring, AI analysis, and Cover Letter generation within Jobvox
You may delete your Resume at any time through the Jobvox interface. Upon account cancellation, Resume data is retained for 30 days and then permanently deleted.
6. LLM & AI Data Processing
Jobvox's AI Features use third-party large language model (LLM) providers to deliver job analysis, resume optimization, and Cover Letter generation. By using AI Features, you acknowledge and consent to the following:
Job descriptions and excerpts from your Resume may be sent to third-party AI providers (currently OpenAI and/or Anthropic) for processing
AI-generated content — including analysis results, optimization suggestions, and Cover Letters — is provided "as-is" with no guarantee of accuracy, completeness, or fitness for any purpose
Nimvox does not use your data to train AI models. Third-party providers' data handling practices are governed by their own privacy policies and terms of service
AI responses are cached in encrypted form (with a 7-day time-to-live) to improve performance and reduce redundant processing
AI Features are available on paid tiers only. If you do not wish for your data to be processed by third-party AI providers, do not use AI Features. The core job discovery, matching, and pipeline features of Jobvox function without AI Features.
7. Automated Profiling & Match Scoring
Jobvox uses a 12-dimension algorithmic scoring system to rank Job Listings against your Resume. This scoring is based on automated keyword and skill matching and considers factors such as capability fit, skill overlap, location fit, seniority fit, and growth potential, among others.
Match Scores are estimates, not guarantees. A high Match Score does not guarantee that you are qualified for the position, that you will be considered by the employer, or that the role is a good fit for your career goals. You should not rely solely on Match Scores for career decisions.
GDPR Article 22 Notice: If you are located in the European Union or European Economic Area, you have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning you or similarly significantly affects you. You may request human review of any automated assessment by contacting us at contact@nimvox.dev.
8. Cover Letters & Resume Optimization
Jobvox can generate Cover Letters and resume optimization suggestions using AI Features. You acknowledge that:
AI-generated Cover Letters are drafts that require your review and editing before use
You are solely responsible for the content of any Cover Letter or application you submit to an employer
Nimvox is not responsible for the accuracy, tone, or appropriateness of AI-generated content
Resume optimization suggestions are recommendations only and do not guarantee improved outcomes in job applications
9. Service Limitations
Jobvox is a job discovery and matching tool. It is important to understand the following limitations:
Jobvox is not an employment agency, recruiter, staffing firm, or job placement service
Nimvox makes no guarantees regarding employment outcomes, interview invitations, or hiring decisions
Job Listings discovered by Jobvox may be inaccurate, incomplete, outdated, or no longer available
Employers may modify or remove listings at any time without notice to Nimvox
Jobvox does not submit job applications on your behalf
Nimvox has no relationship with the employers whose Career Pages are scanned
10. Service Tiers & Billing
Jobvox is offered in multiple tiers (Free, Pro Monthly, and Pro Annual), each with different limits on the number of Tracked Sources and features available. Current pricing, limits, and feature availability are listed at nimvox.dev.
You may cancel your subscription at any time
Annual plans are non-refundable after 30 days from the date of purchase
Pricing may change with 30 days' notice as described in Section 15 of the main Terms
11. Data Retention
Jobvox retains your data according to the following schedule:
Job Listings: Retained for 120 days from the date of discovery, then automatically deleted.
ATS discovery cache: Career Page structure and ATS detection results cached for 45 days.
AI analysis cache: Encrypted LLM responses cached for 7 days to improve performance.
Cover Letters: Retained until you delete them or your account is terminated.
Resume and account data: Retained until you delete them or your account is terminated.
Post-cancellation: All data is retained for 30 days after account cancellation, then permanently deleted.
